# Sales Analytics

**Analytics** is CrowdWork's visual dashboard: interactive charts of how your sales move over time. Where [Reports](https://docs.crowdwork.com/for-theatres/reports-and-analytics) gives you accounting-ready totals, Analytics gives you the shape of the data — trends, spikes, and comparisons at a glance.

## Who Can Use Analytics

Analytics is available to **Admin** users by default, and can be granted to other users through [Custom Permissions](https://docs.crowdwork.com/for-theatres/managing-staff-and-users/custom-permissions) — enable the **Charts** toggle under Platform Features. When a user's permissions are scoped to specific events, their analytics show only those events.

## Choosing a Chart

Pick what to chart from the selector:

| Chart                 | What it plots                                                                                                                                                                                                                                    |
| --------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Total Revenue**     | Net revenue your theatre collected — refunds and any absorbed fees are deducted, standby deposits are included, and the all-events view also counts memberships and direct donations. Payment plans count only the installments collected so far |
| **Admissions Sold**   | Tickets and registrations sold, excluding refunded and standby orders                                                                                                                                                                            |
| **Discounts Used**    | How many times a discount code was applied to a paid order                                                                                                                                                                                       |
| **Transactions**      | Orders containing at least one paid admission (donation-only or gift-card-only orders aren't counted)                                                                                                                                            |
| **Donations**         | Paid donations received, including both event-tied and direct gifts                                                                                                                                                                              |
| **Gift Card Revenue** | Paid gift card purchases, before any redemption                                                                                                                                                                                                  |

## Setting the Time Window

* **Date range** — set exact start and end dates, or use a preset: **7d**, **30d**, **3m**, **6m**, or **1y** — each a trailing window ending today.
* **Purchase Date vs. Event Date** — **Purchase Date** groups the data by when orders were placed; **Event Date** groups it by the showtime the tickets are for. "When did we sell?" versus "which performances earned?" This toggle appears on the **Total Revenue** and **Admissions Sold** charts; the other charts always group by purchase date.

A heatmap table appears beneath every chart, and the Total Revenue and Admissions Sold charts also add a per-event breakdown view.

## Analytics or Reports?

They agree on the numbers — the difference is the job:

* **Analytics** when you want to *see* the pattern: is this season pacing ahead of last, did the promo spike sales, how does December compare to July.
* **Reports** when you need *figures that reconcile*: a settlement for a producer, the gift-card liability for your books, a donations total for a grant. See [Getting Started with Reports](https://docs.crowdwork.com/for-theatres/reports-and-analytics).
