# Managing Exchanges

Whether you need to switch a ticket from one show to another, move students to different classes, or shift registrations to new dates, the process is the same. This guide will help you handle common customer requests like trading tickets, transferring between classes, rescheduling, or updating session dates. While the terminology may vary (switching, moving, trading, transferring, or exchanging), the steps remain consistent for both show tickets and class registrations.

**Quick date change within the same event?** If you just need to move a patron to a different date or time of the same show or class, you can do that directly from the event's Admissions table without visiting the patron's profile. **Find the Person First.** The quickest path for any exchange is:\
\&#xNAN;*Find the customer/student → Edit → Select ticket/registration → Actions → Edit*

### 🎟️ For SHOWS – Changing a customer's ticket:

1. From the Dashboard menu select either **Tickets** or **Customers**
2. Click the name of the ticket holder, then the blue **Edit Customer** button. <img src="/files/gV8bNIQiZm35SKv81bch" alt="" data-size="line">
3. In the Purchases table, select the **checkbox** to the left of the ticket you want to change
4. Click the **Actions** button at the top right of the table
5. Select **Edit** from the dropdown menu
6. In the Edit modal, select the new ticket details and click **Update Selected Admissions**

### 🎓 For CLASSES – Changing a student's registration:

1. From the Dashboard menu select either **Registrations** or **Students**

3. In the Purchases table, select the **checkbox** to the left of the registration you want to change
4. Click the **Actions** button at the top right of the table
5. Select **Edit** from the dropdown menu
6. In the Edit modal, select the new registration details and click **Update Selected Admissions**

* Exchanges must be for the same type (ticket for ticket, registration for registration)
* Consider setting up a clear exchange policy and timeframe for your venue
* You can also move patrons between dates of the same event directly from the [Admissions table](/for-theatres/managing-admissions.md) on the event overview page
* You can select multiple tickets/registrations at once to edit them in bulk

## What You Can Change

When editing admissions, you have the following options:

**What is Standby?** Standby keeps the admission on file but doesn't count toward tier quantities or capacity caps. This is useful when a patron can't attend but you're not ready to issue a refund. See [Managing Admissions](/for-theatres/managing-admissions.md#what-is-standby) for more details.

### Additional Options

* **Send updated confirmation emails** — Check this box if you want the patron to receive an automatic notification with their updated ticket details
* **QR codes** — Editing admissions may render old QR codes obsolete. New ones will be generated automatically.

## FAQs

<summary><strong>Can I move someone to a different date of the same show or class?</strong></summary>

Yes. The fastest way is from the event's Admissions table: select the admission, click **Actions** → **Edit**, and choose the new date. You don't need to visit the patron's profile for same-event date changes. See [Managing Admissions](https://docs.crowdwork.com/for-theatres/managing-admissions#moving-patrons-to-a-different-date).

<summary><strong>Can I move someone to a completely different show or class?</strong></summary>

Yes. Find the patron on the Customers or Students screen (or click their name anywhere it appears), click **Edit**, select the admission, then **Actions** → **Edit**. <summary><strong>Can I move a show ticket to a class, or a class registration to a show?</strong></summary>

No. Tickets can only be exchanged for other show tickets, and registrations can only be exchanged for other class registrations. If you need to switch between types, refund the original and create a new admission. <summary><strong>Does an exchange change the payment or order?</strong></summary>

<summary><strong>Why can't I change the event from the order screen?</strong></summary>

Orders are financial records of the original transaction — they capture what was purchased and what was paid. To change which event a patron attends, edit their **admission** (from their profile or from the event's Admissions table), not the order itself.
