Setting Up Point of Sale (POS)

Welcome to the CrowdWork POS (Point-of-Sale) app guide. This article will walk you through setting up and using our free companion mobile app for your theater's in-person ticketing.

One-Time Setup Process

Our point-of-sale (POS) app is designed to seamlessly integrate with your theatre's account, providing a unified platform for all sales channels. The app is free to set up and use, mirroring the fee structure of our online platform - with a flat $1 per ticket + standard credit card processing fees.

Quick Fee Summary

  • Fees can be passed to patrons or absorbed by your theater

Here's how to get started:

  1. Connect your CrowdWork account to your Square account for payment processing. More information here.

  2. Add a payment card to your CrowdWork Dashboard for POS transaction fees.

Understanding Fees: Online vs. In-Person

Fees are the same for all sales: $1 per ticket + standard credit card processing

Example: A patron purchasing 3 tickets will incur a $3 service fee (3 × $1) plus standard credit card processing fees.

While our platform maintains a consistent fee structure across online and in-person sales, the method for handling fees differs slightly due to Square's POS implementation.

Online Sales

Each website transaction is distributed as follows:

  • The tickets subtotal, immediately transferred to your Square account.

  • A $1 fee per ticket, transferred directly to CrowdWork.

  • Standard credit card processing fees, assessed directly by Square.

Note: Unlike the previous fee structure (before October 2024), fees are now calculated per ticket rather than per transaction.

In-Person POS Sales

For in-person credit card transactions using the POS app, the workflow varies slightly:

  1. Your account receives the total amount The ticket price plus our $1 per ticket fee are sent directly to your Square account at the time of sale.

  2. Credit card processing fees are assessed directly by Square at the time of sale.

Cash transactions and free tickets never incur fees. Whether issued online or recorded in-person through our POS app, no fees are assessed on cash sales or free tickets.

Adding Your Payment Card

Without a payment card stored in your CrowdWork account, you can still use the point-of-sale (POS) app to record in-person free tickets and cash transactions.

However, in order to accept credit card payments in-person, you must have a payment card on file in your CrowdWork account.

To add your payment card:

  1. Navigate to Theatre > Point-of-Sale on your Dashboard.

  2. Submit your payment card details via the provided form.

The CrowdWork Point-of-Sale (POS) application is available for free download on both Android and iOS devices. The app is compatible with a wide range of devices, including tablets, iPads, Galaxy devices, and iPhones. To find it in your device's app store, search for "CrowdWork" or "Fourth Wall Tickets" or select your app store here:

Using the POS App

Accepting Credit Cards In-Person

In order to swipe credit cards or accept tap-to-pay for in-person sales using our POS app, you'll need Square hardware connected to your tablet or mobile device. The CrowdWork POS app is compatible with all official Square card readers, but does not currently work with Square Terminals.

Square Readers vs. Terminals:

  • Square Readers: These are small devices that connect to your smartphone or tablet via Bluetooth or headphone jack. They include the Square Reader for magstripe, chip cards, and contactless payments. These work with our POS app.

  • Square Terminals: These are standalone devices with their own screens and payment processing capabilities that don't require connection to another device. Our POS app does not currently support these terminals

Selling Tickets In-Person

After signing in to the POS app, you'll be greeted with a list of your active upcoming shows and classes.

  1. Begin by selecting a show or class.

  1. Next, select the desired number of tickets.

  1. Finally, record the transaction as Card, Cash, Free, Custom or Custom with Fees; then following the Square prompts, if required.

  1. Your new ticket holders will now be displayed (and automatically checked-in!) in the "Tickets Sold" section at the bottom of the event screen.

Checking-in Ticket Holders

Using the POS app to view a show or class will display all in-person and online transactions for that event.

Select the tick mark next to the ticket holders you wish to check-in:

If a patron has purchased multiple tickets in one transaction, those tickets will be grouped, allowing you to check the entire party in with one tap. If needed you can expand the grouped tickets to individually check-in specific ticket holders.

Tickets can be checked-in via the POS app or the website in your CrowdWork Dashboard. Check-ins will be synced between the POS app and Dashboard. In the POS app the 'Refresh Purchases' button will ensure your app is aware of the latest website sales.


🤔 FAQs

Why is a credit card required?

Having your card on file is only necessary if you wish to use our point-of-sale (POS) app for accepting in-person credit card payments. This enables us to collect the $1 fee per ticket.

What fees do you collect?

The fee structure for all sales, whether in-person or online, is $1 per ticket + standard credit card processing fees. By default, these fees are charged to your patrons, although you can choose to absorb them by adjusting your theatre's settings.

How do fees work for group purchases?

When patrons purchase multiple tickets in a single transaction, each ticket incurs a separate $1 service fee. For example, a purchase of 4 tickets would have a $4 service fee (plus standard processing fees).

When do you collect fees?

Fees from the previous week's POS transactions are automatically collected every Monday at 12 PM CT. The amount will be charged to the card on file in your Dashboard under Theatre > Point-of-Sale.

Which transactions incur fees?

All credit card transactions, whether online or in-person, incur the same fees: $1 per ticket + standard credit card processing fees.

  • For in-person sales, the $1-per-ticket fees are sent to your Square account and then gathered into a weekly charge to your card on file.

  • Fees from online sales are settled immediately and never charged to your card.

  • Free tickets and cash transactions never incur fees.

How much does it cost to use the app?

The POS app is free to download and use with no additional fees other than the standard $1 per ticket plus any applicable credit card processing fees.

Our fees are collected weekly. Every Monday at 12 PM CT, CrowdWork will automatically charge for the accumulated $1-per-ticket fees from the prior week's in-person sales.

And... our website is mobile-friendly. So if you do need to edit shows and classes on the fly, just from any device!

After setting up classes and shows within your CrowdWork , your active upcoming events will be available for in-person sales and for checking-in ticket holders.
